Voting Process for the 2019 Board

The Recording Secretary has received valid write-in nominations for four potential candidates for the 2019 PWDCA Board. I want to let you know the election process, as described in the Bylaws and the Policies & Procedures Manual (PPM requires login).

All four nominated write-in candidates have indicated in writing they will accept the nomination. They now need to complete the Write-in Candidate Information Form and Confidentiality Agreement and have their Health & Litter Log postings verified to be on the ballot.

Voting members will be sent a ballot via USPS first class mail no later than October 10. Each Voting member will be sent a separate ballot and each Voting member may vote for up to five of the nine nominees (the five nominees on the Slate nominated by the 2019 Nominating Committee and announced about a month ago, plus the four additional write-in nominees).

The ballot will contain an up to 200-word essay submitted by each nominee on their experience, qualifications and objectives for serving. These will be provided in the ballot mailing as submitted, in alphabetical order, with no editing other than formatting for consistency.

We will engage an independent firm to print and mail these ballots with return envelopes, and provide them with a list of current PWDCA Voting members to use both for the mailing and to verify voted ballots.

Ballots must be returned, postmarked no later than October 31, in the return envelope provided in the mailing and they must follow the prescribed voting procedure that will be provided in the ballot mailing. The voted ballots will be mailed to the independent firm for certification and counting. Ballots that do not strictly comply with the voting procedures will not be counted.

The Recording Secretary will be notified by the independent firm of the election results no later than November 12 and the membership notified no later than November 20.

The five nominees who receive the most votes will be declared elected to the 2019 PWDCA Board and will join the five 2018 Board members who are currently in the first year of a two-year term. These 10 will form the 2019 PWDCA Board and take office on January 1. Officers (President, Vice President, Recording Secretary, Corresponding Secretary and Treasurer) are elected by the Board from amongst their 10 members at the new Board's first meeting of the year, which must take place no later than January 14.
